Taxpace and Pacekeeping Privacy Notice
Version: 2026-10-12 · Status: draft for attorney review
This notice explains how Twenty Techworks LLC ("we"), which offers Taxpace (software for tax offices) and Pacekeeping (bookkeeping software), alone or together in a Bundle, handles personal information.
1. Two different roles
- For those who subscribe and their staff (tax firms, accounting practices and people who use Pacekeeping Personal for their own books), we decide how their account information is used. This notice applies to that information.
- For the clients that tax firms and accounting practices serve (Taxpace taxpayers and Pacekeeping Business clients), we act only as the firm's service provider. We process their information on the firm's instructions, under our Data Processing Agreement with the firm and, for tax information, IRC §7216.
- If you are a client of a firm, your firm's privacy notice governs your information. Under the Gramm-Leach-Bliley Act, firms must give you that notice.
- Questions or requests about your information should go to your firm. We will help the firm answer them.
- With Pacekeeping Personal, the bookkeeping information you upload belongs to you and your business. We process it only to provide the Service, as described in Section 3, and this notice applies to it. [ATTORNEY: confirm this role and which state privacy laws apply when the user is an individual keeping their own finances.]
2. Information we collect about subscribers and their users
| Category | Examples | Source |
|---|---|---|
| Account | Name, email, role, firm or business name, phone, language and theme preferences | You or your account's administrator |

| Support | Messages you send us | You |
We do not use advertising cookies or sell any information. The application uses only the cookies it needs to keep you signed in and to remember your preferences.
3. Information we process to provide the Service (taxpayer data and bookkeeping data)
This is the information uploaded to the Service: by the firm or the Pacekeeping user, or by the firm's clients through the firm's links:
- names and contact details;
- Social Security or ITIN numbers;
- income and tax documents;
- dependents;
- bank details for refunds;
- bank and credit card statements, receipts and checks, and the transactions, categories and reports produced from them;
- notes and payments.
We use it only to provide the Service to whoever uploaded it:
- to store and show it;
- to let the firm's clients upload documents;
- to read with artificial intelligence the documents uploaded for that purpose (for example, to extract the transactions from a statement and suggest their category), using the provider shown in the subprocessor list;
- to send the messages the firm asks for;
- to process the payments the firm sets up;
- to run the features the firm or the user turns on.
What we never do with it:
- sell it or share it for advertising;
- use it to train AI models, or let the AI provider use it for training;
- look at it, except when the subscriber asks us for support, when security requires it, or when the law requires it. Every such access is recorded.
4. How we use subscriber and user information
- To create and run accounts, authenticate users and keep the Service secure.
- To bill subscriptions and send receipts, renewal reminders and service notices.
- To provide support and improve the Service, using aggregated usage metrics without taxpayer data or bookkeeping data.
- To comply with the law and enforce our Terms.
5. Who we share information with
- Subprocessors that help us run the Service, under contracts that protect the data. They include the AI provider that reads documents. The current list is at /legal/subprocesadores.
- Services the firm chooses to connect, such as Square, Stripe or WhatsApp, only when the firm turns them on.
- Authorities, when the law or a valid legal process requires it. When we may, we will tell the subscriber first.
- A buyer or successor, if our business is sold or merged. They must honor this notice.
6. How long we keep information
- Account and billing records: while the account is active, and afterwards for as long as tax and accounting laws require (generally up to 7 years).
- Taxpayer data and bookkeeping data: as the subscriber decides while it has the account. After the account is closed, it is deleted as described in Section 10 of the Terms of Service (cancelling the subscription does not delete anything).
- Security logs: [12] months.
7. Security
We protect information with:
- encryption in transit and at rest;
- an extra layer of encryption for Social Security numbers and documents, including statements;
- access limited by role;
- activity history;
- backups.
Details are on our Security page. No system is perfectly secure. If an incident affects your information, we will notify the subscriber promptly and help it meet its notification duties.
8. Your choices and rights
Depending on your state, you may have the right to:
- access, correct or delete your personal information;
- know how we use it.
How to ask: email [email protected]. We will verify your identity and answer within the time the law requires. If you are a client of a firm, contact your firm first.
Some state privacy laws do not apply to information covered by the Gramm-Leach-Bliley Act. We still follow the protections in this notice.
9. Children
The Service is for businesses and for adults who keep their own books. We do not knowingly collect information directly from children. A firm may upload information about a taxpayer's dependents; we treat it as taxpayer data under Section 3.
10. Where data is stored
Data is stored in the United States.
11. Changes
If we make material changes to this notice, we will tell you in the Service or by email before they take effect.
